The reality is stark: product teams ship faster than ever, stakeholders demand insights yesterday, and research backlogs keep growing. AI tools can compress weeks of research work into days, but only if you know where they genuinely help and where they’ll quietly lead you astray.

This guide walks through every stage of a UX research project, planning, conducting, analyzing, and reporting, and breaks down exactly where AI accelerates the work and where human judgment remains irreplaceable.

“Generate 15 different questions I might ask in the daily respondent survey. Then, review the list, and choose the best 5–10 questions you think would serve my study goals best. Order those questions in a way that will make logical sense to my respondents.”

The output wasn’t perfect, some questions needed rewriting, others needed cutting entirely. But having a solid first draft to react to is significantly faster than staring at a blank document.

A critical warning about usability tasks: AI-generated tasks frequently contain leading or priming language, even when explicitly instructed to avoid it. Always have an experienced researcher review the final set before going live.

Tips for ideation:

  • Ask the AI to follow established research best practices when generating options for tasks or questions. If the output isn’t right, explicitly list the characteristics you want.

The key is to provide a template. AI systems produce dramatically better documentation when given a structured starting point rather than generating from scratch. Upload your standard consent-form template and prompt the AI to customize it for your specific study, including the correct method, data-collection permissions, and participant details.

Conducting Research

Conducting Research: Where AI Delivers and Where It Falls Short

 

This is where the picture gets nuanced. AI tools perform very differently depending on whether you’re collecting attitudinal data (what people say) or behavioral data (what people do).

Notetaking During Sessions

 

AI-powered meeting notetakers (like Otter.ai or built-in tools in Zoom and Teams) transcribe conversations in real time and summarize key discussion points. For interviews and focus groups, this is genuinely useful, especially for solo researchers who can’t take notes and facilitate simultaneously.

But these tools have real limitations:

  • They can misunderstand context and get confused about what’s most important.

  • They sometimes misattribute comments to the wrong speaker.

  • Most critically, AI notetakers cannot observe behavior. During usability testing, what a participant does is often more important than what they say — and no current notetaker can capture that.

AI-Moderated Interviews

 

Tools like Marvin, UserFlix, and Outset can conduct structured interviews at scale. They follow a script, ask tailored follow-up questions when responses seem unclear, and generate transcripts automatically.

Outset, for instance, captures emotional nuance through conversational AI and automatically generates transcripts, summaries, and synthesized insights across studies. Its recent integration with Dovetail means those insights flow directly into a team’s broader research repository.

AI interviews work well for:

  • Gathering structured feedback about a specific product or feature

  • Screening large numbers of candidates

AI interviews struggle with:

  • Building genuine rapport with participants

AI interviewers lack a face, can’t read facial expressions, and can’t make the spontaneous judgment calls that experienced human researchers make instinctively.

Transcription and Translation

 

AI-based video transcription has matured significantly. Modern tools handle multiple languages and accents with increasing accuracy, and many offer automatic translation — though translation quality still varies by language.

Timestamps that link transcripts to specific video moments are particularly valuable. They allow researchers to jump directly to key parts of a recording without scrubbing through hours of footage.

AI-generated transcript summaries, overviews of main discussion points, are also becoming mainstream. They’re useful as a refresher before diving into deep analysis.

Tip: Always double-check transcriptions. AI still makes mistakes, especially with multiple speakers, poor audio quality, or specialized terminology.

Data Sanitization

 

Some research platforms automatically scrub personally identifying information (PII) — names, email addresses, phone numbers- from raw data. This handles a tedious but essential step of analysis quickly.

But watch for over-correction. In one documented case, an AI tool removed all tool names from an interview about research software. The system mistakenly thought it was protecting the participant’s privacy by removing a company name, but it actually destroyed critical research data.

Qualitative Coding and Clustering

 

This is one of AI’s most impactful applications in research. Tools like Dovetail, Notably, and HeyMarvin can take a first pass through interview transcripts to identify themes, suggest codes (tags), and cluster similar findings.

General-purpose chatbots like Claude or Gemini can also analyze sanitized transcripts and propose potential codes based on research questions.

Recent research on AI-assisted qualitative analysis suggests an iterative approach works best: let AI generate initial codes from your first transcript, refine those codes yourself, apply the refined framework across remaining transcripts with AI assistance, then use AI to check consistency while making final interpretive decisions. This method can achieve inter-coder reliability rates comparable to multiple human coders while dramatically reducing time investment.

These features are genuinely useful as accelerators, but come with important caveats:

  • AI-generated codes are rarely perfect; many items end up in a vague “Other” category.

  • Tools often miss large sections of the transcript where codes should be applied.

That kind of nuanced, context-informed judgment is beyond the capacity of current AI tools. Treat AI’s coding and clustering as a first draft; a human still needs to make sense of the data and translate it into real insights.

AI can generate first drafts of UX deliverables, such as user personas, journey maps, and empathy maps, as long as they’re grounded in real research data. Feed the AI your actual findings and let it structure the deliverable. Never let it fill in gaps with made-up details.

Research Repositories and Knowledge Sharing

 

One of the most exciting developments is how AI is improving the discoverability of research findings within organizations. Tools like Dovetail and Notion now allow stakeholders to ask natural-language questions and receive synthesized answers drawn from past research,  instead of manually sifting through tags and keywords.

This turns a static research repository into a living, searchable knowledge base. Over time, every study adds to a searchable database, expanding institutional memory and making insight reuse effortless. Teams should still consult researchers for full context and limitations, but the barrier to accessing existing insights drops dramatically.
